This policy applies to business customers purchasing GleamConnect subscriptions. It does not govern clinic-to-patient refunds for treatment services.
1. Plans and pricing
Plan features, limits, and fees are described in the pricing page, proposal, order form, or signup flow. GleamConnect may offer different plans for different customer profiles, locations, pilot programmes, or contracted tiers.
2. Billing cycle
Subscriptions are billed in advance on the billing cycle presented at checkout or in the order form. Unless otherwise agreed, subscriptions renew automatically at the end of each billing cycle.
3. Taxes
Fees are exclusive of VAT and any similar taxes unless stated otherwise. The clinic is responsible for providing accurate billing details and tax information.
4. Trials and promotional arrangements
Free trials, discounted launch plans, beta access, or founder pricing may be offered at GleamConnect’s discretion. Unless the offer states otherwise, trials convert to paid subscriptions when the trial ends. The clinic may cancel before conversion to avoid future charges.
5. Payment processing
GleamConnect currently uses Stripe or another designated billing provider to process subscription charges. GleamConnect may change billing providers, retry logic, invoice delivery methods, or fraud checks from time to time.
6. Failed payment
If a payment fails, GleamConnect may:
- retry the payment method;
- request an updated payment method;
- issue reminders or invoices;
- temporarily restrict account features;
- suspend the account;
- terminate the subscription for non-payment if the issue remains unresolved.
7. Plan changes
Upgrades may take effect immediately or from the next cycle depending on the plan design. Downgrades usually take effect from the next billing period unless otherwise stated. Some reductions in user count, storage, or feature access may not take effect until the next renewal.
8. Cancellation
The clinic may cancel renewal through the available account controls or by written notice to support before the next renewal date. Cancellation prevents future renewal charges but does not ordinarily trigger a refund for the current paid period.
9. Refunds
GleamConnect is a B2B software service. Except where required by law or expressly stated in writing:
- subscription fees are non-refundable;
- partial refunds are not provided for unused time, reduced usage, or early termination;
- setup fees, onboarding fees, custom work fees, and professional service fees are non-refundable once work has materially commenced.
GleamConnect may issue a refund, credit, or billing correction at its discretion for duplicate charges, clear billing errors, or exceptional circumstances.
10. Suspension and access
Where an account is suspended for non-payment, security, or serious breach:
- access may be restricted immediately;
- support and export options may be limited;
- archive handling remains governed by the applicable retention and archive policy.
11. Future payment services
If GleamConnect later offers regulated payment infrastructure, POS devices, stored-value tools, acquiring support, or payment facilitation, those services will be governed by separate payment terms and may be subject to additional onboarding, underwriting, compliance, KYC, AML, or hardware conditions.
